2. Personal Data Protection
In accordance with Regulation (EU) 2016/679 (General Data Protection Regulation – GDPR), Spanish LO 3/2018 regulation on Personal Data Protection and Guarantee of Digital Rights, as well as any other applicable national or European Union legislation, the following information is provided regarding the processing of your personal data.
3. PURPOSES OF DATA PROCESSING AND LEGAL FRAMEWORK
All personal data will be processed for the management of data collection and processing within the framework of a European research project carried out by a European consortium, focusing on digital health literacy and prostate cancer, entitled “Cancer Literacy Education and Awareness Resources for Prostate Care (CLEAR-PC)”.
3.1 Legal basis for processing
Processing is based on the data subject’s explicit consent (Article 6(1)(a) GDPR).
3.2 Processing of special categories of data (health data)
The processing of health data is based on the explicit consent of the data subject (Article 9(2)(a) GDPR) and is necessary for scientific research purposes in accordance with Article 9(2)(j) GDPR and Article 89(1), subject to appropriate safeguards to protect the rights and freedoms of the data subject.
3.3 Provision of data
The provision of the requested data is voluntary; however, failure to provide such data will make it impossible to fulfil the purposes of the processing.
3.4 Communication and dissemination of project activities
For data subjects who provide their explicit and optional consent, personal data in the form of photographs, video, and audio recordings may be processed to communicate, publicise, and disseminate the milestones, public events, and workshops of the CLEAR-PC project. This processing is aligned with the dissemination obligations mandated under Grant Agreement No 101219353.
4. AUTOMATED DECISION-MAKING AND PROFILING
Your data will not be used for automated decision-making or profiling.
5. RECIPIENTS
Personal data will not be disclosed to third parties except where necessary for the purposes of the processing or where required by law.
6. INTERNATIONAL DATA TRANSFERS
No international data transfers are planned.
7. DATA RETENTION PERIOD
Personal data will be retained in pseudonymised form for the time necessary to fulfil the research purposes of the CLEAR-PC project. In accordance with the EU4Health Grant Agreement and the Joint Controllership Agreement, personal data and essential supporting documentation will be retained for five (5) years following the final payment of the grant, solely for audit, legal, and accountability purposes.
During this period, sensitive materials (e.g., informed consent forms and audiovisual recordings) will be stored in encrypted and access-restricted systems. The pseudonymisation key will be kept separately under the responsibility of the designated data controller.
After this period, personal data will be securely deleted or irreversibly anonymised for potential scientific reuse in recognised repositories (e.g., Zenodo), unless further retention is required under applicable EU or national archiving legislation.
8. RIGHTS
You may withdraw your consent at any time. You may also exercise your rights of access, rectification, erasure, objection, restriction of processing, and data portability by submitting the appropriate request form (“Exercise of Data Protection Rights”) through the UMH registry, via the electronic office (https://sede.umh.es/), or by contacting the Data Protection Officer at dpd@umh.es.
You also have the right to lodge a complaint with the competent supervisory authority (Spanish Data Protection Agency: www.aepd.es) if you consider that the processing does not comply with applicable regulations.
9. SOURCE OF DATA
Data is obtained directly from the data subject.
10. CATEGORIES OF DATA
10.1 Identification and contact data
Name, surname, email address, phone number, and signatures, collected through the informed consent document.
Image and voice, captured through audio and video recordings during focus groups and qualitative interviews strictly for internal scientific analysis and transcription purposes.
Photographs, video, and audio recordings captured during public events, workshops, or consortium meetings for communication, social media, and dissemination purposes, subject to the explicit and optional consent of the data subject
10.2 Personal, family, and social characteristics data
Sex/Gender (for gender-based analysis in health literacy).
Family role (including caregiving roles in prostate cancer contexts).
Vulnerability and origin (e.g., migrant or refugee status, socioeconomic level).
10.3 Academic and professional data
Professional role and educational background (health professionals, educators, policymakers).
Knowledge and competencies related to digital health literacy and communication.
Participation in training modules and Delphi processes.
10.4 Special categories of data (Health data)
Clinical data (prostate cancer diagnosis, treatments followed).
Symptoms and side effects related to the disease or treatment.
Mental health data (emotional distress, psychosocial impact, wellbeing).
